What we collect and why
1. When you send a rental request (the Request page)
- Your full name, as written in your passport
- The bike you chose, your rental dates, the payment method and deposit type you chose, any extras (for example a phone holder), and the total price
- A reference number that our system creates for your request
We use this to check that the bike is free, to prepare it, and to confirm your rental. A PDF summary of your request is created on your own device and sent to us through Google Apps Script. It is saved in our Google Drive, which only our team can open. We also make your invoice from this PDF.
2. When you ask to extend a rental (the Extend Rental page)
- Your name, your reference number, the bike, the date you have paid until, the new end date, the payment method and the total price
We use this to check that the bike is free for the extra days and to confirm the extension. The PDF summary is saved the same way as above.
3. When you message us on WhatsApp
When you press Send in WhatsApp, we receive your message, your WhatsApp phone number and your WhatsApp profile name. We use them to talk to you about your rental. WhatsApp is run by Meta, and Meta's own privacy policy applies to the WhatsApp app.
4. When you pick up the bike
- You show your original passport. We take a photo of the main page and of your visa or entry stamp. The photo is saved in our Google Drive.
- If you leave your passport as the deposit, we keep it in our safe and give it back when you return the bike. A cash deposit is paid back in cash.
- You sign a paper rental contract.
- You film the bike at handover with your own phone; that video stays with you. We film the bike ourselves only if you pay by card or ask us to — you may appear in that video.
5. Website statistics (Google Analytics)
We use Google Analytics to see how many people visit our pages and where people stop in the booking steps. It collects information such as the pages you visit, the type of device and browser, and your approximate location (country or city). It does not collect your name. Google Analytics uses cookies. You can block cookies in your browser settings, or use Google's opt-out add-on.
6. Your display settings
If you choose a theme (light or dark) or a text size, your choice is saved only in your own browser, so the page looks the same next time. It is not sent to us.
Checking availability uses our own booking calendar. It does not send any of your personal data.
Who else handles your data
We use these services to run the website and our bookings. They handle data only to provide their service:
- Google — Google Apps Script and Google Drive (rental requests, invoices, passport photos), Google Sheets (our booking calendar), Google Analytics (website statistics)
- Meta — WhatsApp (messages)
- Netlify — our website host, which keeps short technical logs to run the website
We do not sell your personal data. We share it with the authorities only when the law requires it — for example with the police after an accident, a theft or a traffic fine.
How long we keep your data
- Booking request (PDF) and invoice: we make the invoice from your booking request, so we keep both for 5 years, as Thai accounting rules require.
- Passport photo and any video we made: once a year, around 1 June, we delete them for every rental that ended more than 12 months before. If your rental is still running, we keep them until it ends.
- Paper rental contract: usually destroyed on the day you return the bike. After an accident or a dispute we keep it for 6–12 months, or longer only if the police or the law require it.
- WhatsApp chats and your contact: we keep them so we can see our earlier conversations and recognise you if you rent from us again. You can ask us to delete them at any time, unless we still need them for an open rental, an accident, a dispute or because the law requires it.
Public reviews and disputes
We welcome honest reviews, good or bad — please write only what is true. In Thailand, publishing false statements that harm someone's reputation is a crime (Criminal Code, Sections 326 and 328). If a review contains such false statements, we may take legal steps.
If someone posts a public review about us with claims we can show are false, we may reply publicly and show the relevant part of our chat with that person, with the phone number hidden. We never publish photos of you. If the review is deleted, our reply is removed with it.
In a dispute we may also show our chat to Google, the authorities or a court as proof.
Your rights
Under Thailand's Personal Data Protection Act (PDPA) you can ask us to:
- tell you what personal data we hold about you and give you a copy
- correct data that is wrong
- delete your data, or stop using it, when we no longer need it
- take back your consent, where we use your data because you agreed to it
To make a request, message us on WhatsApp. We will reply within 30 days. If you are not happy with our answer, you can complain to Thailand's Personal Data Protection Committee (PDPC).
Changes to this page
If we change how we use personal data, we will update this page and the date at the top.
